New features in your CampusCard

One card, many functions. The CampusCard is essential for life on the Bildungscampus - it is an ID, access key and means of payment, all in one. To be able to offer "one card for everything", several innovations have been implemented behind the system scenes. 

Students will be able to manage the CampusCard around the clock and conveniently from home or on the go, for example, to top up credit or view receipts.

New: The PaymentPortal

The CampusCard can be managed, topped up and blocked independently via the PaymentPortal. In order to use all functions of the CampusCard, a one-time registration in the PaymentPortal is necessary.

All CampusCard users are automatically sent an e-mail with a registration link. If a user does not receive a registration notification, the e-mail can be triggered again by clicking on the "Register now" button on the PaymentPortal homepage. Once the registration is completed, users will only need to confirm their accounts via e-mail to activate it. You don´t have a CampusCard yet? Those who receive a CampusCard for the first time can already register on the PaymentPortal and activate their user accounts. For security reasons, the card can only be topped up with credit or be used for other services once the card has been received by the user and validated on site.

What is the CampusCard?

The CampusCard is a means of identification and serves as a ID.  (It is not a substitute for an identity card. A photo ID must therefore always be carried in addition in order to identify oneself, for example at an exam). It bears the logo of the issuing institution, a photograph, and the logo of the Bildungscampus.  The information on the CampusCard also contains a unique campus ID assigned to every user. Depending on the institution and position, the CampusCard holder is assigned certain rights, such as access, via this Campus ID. Primarily, the CampusCard thus fulfills access functions for buildings as well as credit and payment functions on campus.  In this context, all discounts are saved to the user profile of the CampusCard, e.g. for the use of the canteen or the calculation of parking fees. It may also be used to borrow media in the library. Registration in the PaymentPortal of the Bildungscampus is a prerequisite for using CampusCard services. Passing on the CampusCard to third parties is not permitted.

What are the functions of the CampusCard?

The CampusCard provides users with various services: e.g. access, payment options and media lending. The CampusCard access function relates to the Bildungscampus buildings. Individual access to places relevant for the user is set up. The CampusCard provides entry to and exit from the Parkhaus Ost and Mitte as well as the Parkplatz Ost depending on the user group. For residents of the student residence W27, the CampusCard also serves as a key card. The payment feature relates to the catering offers on the Bildungscampus. These include the canteen and the café as well as numerous snack and drinks vending machines. Discounted parking rates are also billed through the CampusCard. Entry to the parking areas will then only be possible if the CampusCard has been registered in advance in the PaymentPortal (for exit a validation and credit top-up is mandatory). How do I obtain a CampusCard?

The CampusCard is issued to members of Bildungscampus staff by the employer. Each educational facility prepares and issues the CampusCard for its own students. Registration in the PaymentPortal of the Bildungscampus is a prerequisite for using CampusCard services. All CampusCard users receive an automated e-mail for registration in the portal. Alternatively, an e-mail for registration can be triggered via the PaymentPortal. Important note: The CampusCard must be validated on site before it can be used for the first time on campus.  As part of this validation, a validation period is defined which again activates the functions of the CampusCard. All CampusCard validation terminals can be found on the site plan in the “Service” section.

Where can I validate my CampusCard?

The CampusCard must be validated on site on the Bildungscampus before it can be used for the first time.  As part of this validation, a validation period is defined which again activates the functions of the CampusCard. (Regardless of the validity period imprinted on the back of the CampusCard, the system update requires that the validation step needs to be performed again after registration in the PaymentPortal). What does the CampusCard cost?

The CampusCard is provided free of charge. If it needs to be re-issued due to loss or damage brought on by your own fault, this may be subject to a fee according to the respective scale of charges and fees specified by the issuing institution. If the card is defective without any fault on your part, of course no fee will be charged. In this case, it is not necessary to order a replacement card via the "Request a replacement card" service, but to contact the CampusCard administration department directly.

How do I top up my CampusCard?

The CampusCard can be conveniently topped up online via the PaymentPortal using a credit card or SEPA direct debit. In addition to the preferred payment method, an automatic top-up function for a certain threshold value can also be activated here (currently for SEPA direct debit). There are also top-up terminals on the Bildungscampus which, depending on the terminal type, offer charging with cash or via the EC and credit card.  All CampusCard top-up terminals can be found on the site plan in the “Service” section.

Please note: Discounted parking rates apply for the use of parking areas on the Bildungscampus. The exit is only possible if the CampusCard has enough credit. If the credit falls below 3.00 euros, a message will automatically be sent from the PaymentPortal to your stored contact e-mail address. What is the maximum amount of credit I can top-up to the CampusCard?

For security reasons, the total maximum credit on the CampusCard is limited to 100.00 euros. A simple alternative to always have sufficient credit on the CampusCard is to activate automatic top-up that is triggered once the balance falls below a certain threshold in the PaymentPortal.

How can I withdraw credit from my CampusCard?

It is possible to withdraw credit in the form of cash or via EC card at appropriate on-site terminals on the Bildungscampus. An overview of the CampusCard top-up terminals can be found here on the site plan. Online withdrawals are not possible.

What do I do if I lose my CampusCard?

The CampusCard can be reported as lost at any time online via the PaymentPortal using the "Request replacement card" function under "My data". This will block the card and trigger the printing of a replacement card. Please note: Issuing a replacement card may be subject to fees. If it is not possible to block the card via the PaymentPortal, the loss of the CampusCard can also be reported to the issuing institution in exceptional cases. Blocking the card without delay is necessary to prevent unauthorized access and protect from misuse of credit and other functions. When the replacement card is issued, all settings including the previous credit balance are automatically transferred to the new card.

I have found a CampusCard. Where can I turn in the card?

The CampusCard can be handed in at any time on the Bildungscampus 9 at the reception desk of the Schwarz Campus Service or dropped off in the mailbox there. If it is not possible to drop it off on site, you can send an email to campuscard*Den Text zwischen den * loeschen, dies ist ein Spamschutz*@mail.schwarz with the following information: Institution, first and last name, and Campus ID of the CampusCard found.

What should I do if my CampusCard does not work?

With the functional update of the CampusCard, registration in the PaymentPortal of the Bildungscampus is necessary. If the CampusCard has already been registered and the user account has been activated accordingly, it must be ensured that the card has subsequently been validated on site before it is used for the first time. Since the card must be validated again due to the system update, this is irrespective of the validity period imprinted on the back of the CampusCard in this case. If the CampusCard does not work despite successful registration and validation, the contact persons in the administration department of the institution may be contacted for help. 

What is the guest card?

In the canteen and café as well as at all snack and coffee vending machines on the Bildungscampus, cashless payment is made using the CampusCard. Visitors to the campus may purchase a guest card for a deposit of 5.00 euros. This can be done at all CampusCard top-up terminals with cash or bank card payment, e.g. in the canteen, the LIV library or in the FORUM. Click here for all locations of the CampusCard top-up terminals: Site plan. Guest cards can be topped up with credit directly at the terminals. There, it is also possible to return the guest card and pay out the remaining credit and deposit amount. The guest card can be used for payment at the above-mentioned catering services. Access or entry authorizations are however not set up on the guest card. It is neither possible to borrow media. Guest cards cannot be registered in the PaymentPortal or validated before use. I live in a student dormitory run by the Studierendenwerk Heidelberg. Can I use the CampusCard of the Bildungscampus to pay for the services there?

No. The medium- and long-term goal of the system conversion around the CampusCard is that in the future even more (payment-)functions can be bundled on the CampusCard of the Bildungscampus. In this way, we can make "life on campus" more convenient for all students and employees. For this purpose the credit balance of the CampusCard will be transferred to the administration of Schwarz Campus Service.
The student dormitories are operated by Studierendenwerk Heidelberg and are therefore outside the "virtual wallet" of the CampusCard of the Bildungscampus. In order to use the services of the Studierendenwerk Heidelberg, such as paying at the washing machines, you can obtain a guest card from your contact person as a tenant.

FAQs PaymentPortal

The PaymentPortal is a modern service platform for all aspects related to the CampusCard. Registration in the PaymentPortal of the Bildungscampus is a prerequisite for using CampusCard services.

To ensure a smooth start, all CampusCard users will automatically receive a registration e-mail in advance. Users may then, for example, maintain their own data, check the CampusCard balance online, (automatically) top up the CampusCard and obtain an overview of their current transactions via the PaymentPortal. Booking the discounted 30-day parking ticket and downloading a corresponding receipt will also be possible here. In case of loss, the CampusCard can be blocked via the PaymentPortal.

How can I register on the PaymentPortal?

The PaymentPortal is a prerequisite for the creation and use of the CampusCard and its services. All CampusCard users will automatically receive an e-mail with an individualized link for registration. The data required for registration is the user's own official e-mail address of an educational institution or company located on campus, or the Campus ID (entered without spaces). Both pieces of information can be found in the registration e-mail. If you have not received a registration e-mail, you may request it on the PaymentPortal homepage. To do this, you will need your own e-mail addresses of an educational institution or company located on the Bildungscampus.

What are my login details for the PaymentPortal?

You can log on to the PaymentPortal by entering your own official e-mail address of an educational institution or company located on the Bildungscampus, or your campus ID (without spaces) and the password you specified during registration. An up-to-date web browser and an Internet connection are required for use. For a trouble-free operation of the PaymentPortal, it is recommended to use only the buttons within the PaymentPortal and not to use the browser control buttons "Forward" and "Back". 

Where can I request a new password?

You can log on to the PaymentPortal by entering your own official e-mail address of an educational institution or company located on the Bildungscampus, or your campus ID (without spaces) and the password you specified during registration. If you forgot your password, you may request a new one on the PaymentPortal homepage by clicking on the "Forgotten password" button.

How do I activate the "Automatic top-up" function?

With the "Automatic top-up" feature, it is possible to book a selected amount to the CampusCard credit as soon as the credit falls below a specified minimum value. To use this feature, selection of the "SEPA direct debit” payment type is required. Under "My data" in the "Automatic top-up" menu item you can activate or deactivate the function by clicking on the "Activate” button. Activating automatic top-ups ensures that sufficient credit is available on your CampusCard.

Where can I save my preferred payment method?

Under the "My data" menu item you can find the function "My payment methods". By checking the box, you can select your preferred payment method. As part of your next online top-up, the payment method used will be saved and will be available for selection for future online top-ups as well as for the "Automatic top-up" function (currently only SEPA direct debit). Please note: The check mark for "Save payment types" is not set by default. In order to save a payment type, the checkbox must therefore be actively ticked off before credit is topped up via the PaymentPortal. You may reset your stored payment type at any time. To do so, simply remove the checkmark or delete the entry directly at the saved payment type. Please note: Automatic top-up is not possible if no payment method is saved. Any automatic top-up that may have been set up will also be deactivated when the payment type is removed.

Where can I view details of my transactions?

An overview of all your CampusCard transactions over the last 500 days is available on the PaymentPortal under the "My transactions" function. By clicking on the respective line, you can view further details on each transaction. Available since September 1, 2021:  If 30-day parking tickets are booked to the CampusCard via the PaymentPortal, a small, blue "P" icon will appear on the right side of the respective line, through which you can open and download the receipt as a PDF document.

How long will my transaction details be stored?

Your transaction details and receipts can be reviewed or downloaded for 500 days. 

Which e-mail address is used for automated notifications by the PaymentPortal?

The automated e-mails with important information on registration or deadlines are sent by default to the official e-mail address of the corresponding educational institution or company. In the PaymentPortal you can also save an alternative e-mail address to you contact options (see the "My data" section). System notifications will then only be sent to this e-mail address.

Why do I have to upload a photo when registering?

It is a system requirement and offers the advantage that reissue of your CampusCard can be initiated directly if you need to block your card (see "Request a replacement card" in the "My data" section). The images uploaded to the PaymentPortal will be used for first-time issue of your CampusCard (first-time CampusCard users). For CampusCard holders who already have a card, the image will be automatically used if a replacement card needs to be issued, e.g. if a card is blocked. The photo in the PaymentPortal can be changed at any time. However, this will not trigger a reissue of the CampusCard.

What requirements must be met regarding the photo for the CampusCard?

During registration, a photo must be uploaded to the PaymentPortal in addition to personal data. This applies to CampusCard holders as well as to future CampusCard users. It is a system requirement and offers the advantage that reissue of your CampusCard can be initiated directly if you need to block your card (see "Request a replacement card" in the "My data" section).  Since the CampusCard serves as a ID, among other things, the following requirements apply:  Passport photo/full-face front view, full face is visible (no sunglasses or similar), recent photo to reflect your current appearance, neutral background, aspect ratio of 3:4 (width:height), minimum resolution of 210 x 280 pixels (a smartphone picture meets the minimum resolution), data type JPG or PNG.

How can the photo for the CampusCard be adjusted to the 3:4 format?

An image with an aspect ratio of 3:4 (width:height) is required for registration in the PaymentPortal. If the photo is taken using your smartphone and opened from the image gallery, you may use a number of tools and standard frames for cropping. For portrait format images, a standard 3:4 (width:height) frame is usually offered and can be easily applied to the selected image. On your PC, the adjustment can be made using an image editing program such as Microsoft (MS) Photos app or MS Paint.
